Privacy Policy

1. Information we collect

• Account information — name, email, practice name, role, and password (stored only as a salted hash).
• Content you enter — the software licenses, renewal dates, seat assignments, notes, and documents you add to your vault.
• Billing information — handled by our payment processor; we receive limited details such as the card brand, last four digits, and subscription status, not your full card number.
• Usage & device data — basic log data such as IP address, browser type, and actions taken, used to operate and secure the service.

2. How we use information

• To provide, maintain, and improve the software and your vault;
• To send renewal reminders, service notices, and support responses;
• To process subscriptions and prevent fraud or abuse;
• To comply with legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

3. How we share information

We share information only as needed to run the service, with service providers acting on our behalf under contract:

4. Data security

We protect your data with industry-standard measures, including AES-256 encryption at rest and in transit, hashed credentials, role-based access controls, and full audit logging. No method of storage or transmission is 100% secure, but we work continuously to safeguard your information.

5. Data retention

We retain your account and content for as long as your account is active and as needed to provide the service. After cancellation, data may be retained for a limited period to allow export and to meet legal or accounting requirements, then deleted. You can request earlier deletion (see below).

6. Your rights & choices

Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email support@prolicensor.com. We will respond within the timeframe required by applicable law.

7. HIPAA & protected health information

ProLicensor is a license and document record-keeping tool and is not intended to store patient records. If you are a HIPAA-covered entity and wish to store any protected health information, you must first execute a Business Associate Agreement (BAA) with us. Contact support@prolicensor.com to request one.

8. Cookies

We use a small number of essential cookies to keep you signed in and remember preferences. We do not use advertising or cross-site tracking cookies. See our Cookie Policy for details.

9. Children

The service is intended for businesses and is not directed to children under 13. We do not knowingly collect their information.

10. Changes

We may update this Privacy Policy from time to time. Material changes will be posted here with a revised date.
